How to Use WebEx Enabled Classrooms

WebEx-enabled classrooms are designed to facilitate both in-person and virtual learning environments. This guide provides step-by-step instructions for using these classrooms effectively.

Scenario #1: In-Person (No WebEx/No Recording)

How to Share the Instructor Station or a Laptop on the Screens

Step 1: Start from the Navigator Pad

  1. Tap the Screen:

    • On the Navigator pad, tap the screen to get started.

Step 2: Connect Your Laptop (if needed)

  1. Use HDMI Cable:

    • If using your laptop, connect it with the provided HDMI cable.

Step 3: Share Your Screen

  1. Click Share Screen:

    • Click on the Share screen button.

  2. Preview the Display:

    • Under Instructor Station (or Laptop), click on the Preview button.

  3. View the Desktop:

    • The desktop should be duplicated on the displays. If you can't see the desktop on the screens, the audio will not be available from the soundbar.

Step 4: Stop Sharing the Screen

  1. Stop Sharing:

    • Click the Share button once again and touch Stop sharing.

Scenario #2: Virtual or Hybrid Class

How to Start Your Canvas WebEx Meeting from the Instructor Station

Step 1: Log Into Canvas

  1. Access Canvas:

    • Log into the instructor station.

    • Open your Canvas Course Shell and navigate to the Cisco WebEx module.

Step 2: Start Your Meeting

  1. Begin the Meeting:

    • Click on the Start button next to your scheduled class meeting.

  2. Open WebEx Desktop App:

    • If prompted, click the Open WebEx button.

Step 3: Connect to the Video System

  1. Connect to Video System:

    • At the Audio/Video preview screen, click Connect to video system.

  2. Search for Video System:

    • Click Search for or call a video system.

  3. Enter Room Name:

    • Type your room name, which is displayed at the top left corner of the center LED display. Select it from the list.

  4. Enter 4-Digit Code:

    • If the codec doesn’t connect immediately, enter the 4-digit code displayed on the center LED display, then click OK.

  5. Start Meeting:

    • Click Start meeting.

Step 4: Share Your Desktop

  1. Share Desktop:

    • Click the Share button at the bottom control bar of your WebEx Desktop App.

  2. Unmute Audio:

    • Unmute the audio passthrough button to ensure attendees can hear the audio.

  3. Click Share:

    • Click the Share button to begin sharing your desktop.

Step 5: Understand the Display Setup

  1. Display Configuration:

    • The center display is the Presentation display. The outer display shows remote attendees if you are not sharing content. The third display beside the Instructor Station is a duplicate view of the outer display for the instructor to easily see attendees.
