Starting a WebEx meeting is a straightforward process that allows you to connect with your attendees efficiently. Below is a step-by-step guide on how to initiate your WebEx meeting and some valuable tips for managing the meeting effectively as a host.

Starting Your WebEx Meeting

  1. Open the Calendar Invitation:

    • Locate the calendar invitation in your email or calendar application.

  2. Join the Meeting:

    • Scroll down and click on Join Meeting.

  3. Sign into WebEx:

    • If prompted, enter your FSCJ email address and click Next.

    • Sign in through the FSCJ Single Sign-On page using your user ID and password, then click Sign in.

  4. Configure Audio/Video Settings:

    • In the Audio/Video preview window, set your audio to Call in.

    • Choose whether to set your video to On or Off.

  5. Join the Meeting:

    • Click Join Meeting to enter the session.

  6. Dial into the Meeting:

    • After WebEx launches into the meeting, use your office phone to dial the Call-in phone number provided.

    • Enter the meeting number and your attendee ID.

  7. Start the Meeting:

    • Begin sharing your content and proceed with your meeting agenda.

Moderating and Managing the Meeting

  • Record Meetings:

    • Record the meeting to share with people who couldn’t attend. This ensures everyone can access the important details discussed.

  • Mute Participants:

    • Mute other participants when there is unwanted noise to maintain the meeting's clarity and focus.

  • Assign an Alternate Host:

    • If you cannot attend a meeting you scheduled, assign an alternate host to ensure the meeting proceeds smoothly.

  • Unique Meeting Details:

    • Never paste the details from a meeting invitation to another date/time. The meeting details are unique for every meeting you schedule, except when using your Personal Room.

  • Start Early:

    • Begin your meeting a few minutes early, especially if you have invited clients or external parties. This gives you time to prepare and address any technical issues.

Enhancing Meeting Experience

  • Use Headsets or Microphones:

    • If attendees experience difficulties with headsets or computer microphones/speakers, use the Chat panel to assist them. Check their device configuration as a first step.

  • Turn Your Video On:

    • Enable your video to create a more immersive meeting experience. This encourages others to turn their video on as well, fostering better communication.

  • Engage Participants:

    • Keep your session engaging by asking questions and encouraging others to participate. Use screen sharing to display the meeting agenda, presentation, and action items to drive discussion and boost engagement.
