Question: How do I order from Central Stores? Can I still have a blanket authorization for Central Stores orders?

Answer: Central Stores orders are now entered as a requisition in PeopleSoft. In PeopleSoft the Central Stores equivalent is called Inventory. Central Stores no longer has blanket authorizations because all requisitions must go thru the approval process.

Question: How do I enter a requisition for Central Stores Orders? 

Answer: All requisitions are entered under e-Procurement – Requisition. You must have access to enter a requisition to enter an order/requisition for Central Stores stock. For Inventory (CStores Orders) all stock items are available under Catalog.

On the Requisition Settings page

1) In the Requisition Name box enter:

       Name, Building, Room number of the person the

    order is to be delivered.

         IE: Hugh Jackman NC A2613

2) In the Ship To box choose campus/center location

       the order is to be sent.

3) In the Accounting Defaults area enter:

     GL UnitFundOrg UnitDept.

     You do not need to enter Account*.

       OPTIONAL: Location box choose the College

       coded information for Campus/Building/Room

       the order is to be delivered.

*The system will fill in account information with the default account number associated with each stock item. However you should check the default account number as you may need to change it.

4) You do not need to enter information in boxes:

     SupplierSupplier LocationBuyerCategory,

     Unit of Measure.

5) DO NOT enter Due Date.

6) Click OK

On Create Requisition Page

Click on Catalog or FSC ALL ITEMS. You can search for items by description or by stock number.

Enter quantity for each item needed and add to cart.

Checkout, Check Budget, Save and Submit. 

Question: How can I change the Default Account on an item; I want to buy for Instructional use?

Answer: After items are added to the cart, click Checkout. Open the accounting lines of the items you need to change. Click on Chartfields 2, make appropriate change.Please be sure to use a hazardous account number for all items that are hazardous. 

Question: How long does it take my requisition to get to Inventory/Central Stores? 

Answer: All Inventory/Central Stores order requisitions must go to the Budget Manger for approval. After the requisition has been approved, two processes run every hour to pick up the requisitions and pull them into the Inventory Module.

Question: How do I know if an item is on backorder? 

Answer: When you enter a requisition each stock item shows the Inventory Available; the amount shown includes items on orders that are waiting to be pulled/closed. After the requisition order has been pulled, go to the requisition under Manage Requisitions, and click on the Inventory icon. This displays each item; the quantities ordered, shipped and backordered.
