WebEx: How to Schedule Webex Enabled Classrooms
Scenario 1 – I am scheduled to teach in the Webex Enabled Classroom
Confirm that you are already encoded to teach in the assigned Webex Classroom. Confirm with your Academic Dean or Department Chair, and Campus Operations (for 25Live). Do not use Microsoft Outlook or fscj.webex.com to schedule.
After confirming that your sessions are blocked out in 25Live, simply create the recurring virtual meetings within your Canvas Course Shell’s Cisco Webex module. You must do so in each course shell.
At the time of your class session, log into the classroom PC and launch Cisco Webex from your Canvas Course shell.
At Webex’s audio/video preview window, join the Webex Classroom into your Webex Desktop app and start your class meeting.
Scenario 2 – I would like to schedule the Webex Classroom for personnel meeting usage
Coordinate with Campus Operations to block out the Webex classroom in 25Live for you.
Next, ensure that Outlook Calendar has the classroom(s) available for your timeframe. Please note, if the room timeframe is already booked in Outlook Calendar with a "placeholder" meeting, your Webex invitation may be declined by the system since its already "booked". Delete the placeholder first, prior to scheduling the Webex meeting.
Use Microsoft Outlook to schedule the Webex Classroom(s) you wish to use for the personnel meeting.
If you are the host, log into the classroom PC and launch Cisco Webex Desktop.
Join the Webex Classroom into your Webex Desktop app at the audio/video preview window and start the meeting.
If your room is an attendee room, simply touch the Join Meeting button on the Webex Navigator Tablet. The join button will appear 5-minutes prior to the scheduled start time.
