WebEx-enabled classrooms provide a seamless integration for conducting classes and meetings online. This guide will walk you through the steps for scheduling and using these classrooms, whether you are teaching or hosting a personnel meeting.

Scenario 1: Teaching in a WebEx Enabled Classroom

Step 1: Confirm Classroom Scheduling

  • Verify Assignment:

    • Ensure you are scheduled to teach in the assigned WebEx classroom.

    • Confirm your schedule with your Academic Dean or Department Chair.

    • Coordinate with Campus Operations to ensure sessions are blocked in 25Live.

    • Avoid using Microsoft Outlook or fscj.webex.com for scheduling classrooms.

Step 2: Create Virtual Meetings in Canvas

  • Set Up Recurring Meetings:

    • Open your Canvas course shell.

    • Access the Cisco WebEx module.

    • Create recurring virtual meetings for each course shell you are teaching.

Step 3: Start Your Class Session

  • Log Into the Classroom PC:

    • At the time of your class, log into the classroom PC.

    • Launch Cisco WebEx from the Canvas course shell.

  • Join the Meeting:

    • When prompted by WebEx’s audio/video preview window, join the WebEx Classroom using your WebEx Desktop app.

    • Start your class meeting.

Scenario 2: Scheduling WebEx Classroom for Personnel Meetings

Step 1: Block Classroom Time

  • Coordinate with Campus Operations:

    • Work with Campus Operations to block out the WebEx classroom in 25Live for your meeting.

Step 2: Check Outlook Calendar

  • Verify Availability:

    • Ensure the classroom is available in the Outlook Calendar for your desired timeframe.

    • If a "placeholder" meeting is already booked, delete it to prevent conflicts.

Step 3: Schedule the Meeting

  • Use Microsoft Outlook:

    • Schedule the WebEx Classroom(s) for your personnel meeting using Microsoft Outlook.

Step 4: Start the Meeting

  • Host Instructions:

    • If you are the host, log into the classroom PC.

    • Launch the Cisco WebEx Desktop app.

  • Join the Meeting:

    • At the audio/video preview window, join the WebEx Classroom with your WebEx Desktop app and start the meeting.

  • Attendee Room Instructions:

    • If the room is an attendee room, touch the Join Meeting button on the WebEx Navigator Tablet.

    • The Join button will appear 5 minutes prior to the scheduled start time.
