Schedule a Telepresence Conference Room Endpoint for Webex Meeting Use.

* Before proceeding, you should already be licensed and active in Webex, as well as have both the Webex Productivity Tools and the Webex Desktop App installed to your computer. Please see KB0010904 for more information to get started.

Windows:
1. Open Microsoft Outlook, go to your calendar, and open a New Meeting invitation.
2. Add your attendees.
3. Set your Subject Title, date and start/end times, and your message body.
4. Now add the TelePresence Rooms: Click the To: button and search for the respective Telepresence Room in the “All Rooms” address book list. Highlight the room, then click Required (Click both Required and Resource if using Mac).  Repeat if you are adding additional TelePresence Rooms. Be sure to check the room schedule to ensure it is not already booked during your time. Click OK.

5. Next, on the new meeting invitation, click on the toolbar button “Add Webex Meeting”, then select the option to “Add Webex Meeting”.
6. Confirm your Webex Meeting settings, then click OK.
7. Click Send. You will receive email confirmation when successfully scheduling the room.

 

 

Macintosh:
1. Open Microsoft Outlook, go to your calendar, and open a New Meeting invitation.
2. Add your attendees.
3. Set your Subject Title, date and start/end times, and your message body.
4. Now add the TelePresence Rooms: Click the address book button to the left of To: and search for the respective Telepresence Room. Type “tp” to bring up the Telepresence rooms in the list.
5. Highlight the Telepresence room, then click Required and click Resource. Repeat if you are adding additional TelePresence Rooms. Be sure to check the room schedule to ensure it is not already booked during your time. Click OK.
