Schedule a WebEx Conference Room Endpoint for WebEx Meeting Use.

Windows:
1. Open Microsoft Outlook, go to your calendar, and open a New Meeting invitation.
2. Add your attendees.
3. Set your Subject Title, date and start/end times, and your message body.
4. Now add the WebEx Conference Rooms:

  • Click ‘Room Finder’ which is located far right of the 'Location' button.

  • Find ‘Show a room list:’ and click on the down arrow to view the options. Then, select the campus of your choice.

  • Find the ‘TelePresence’ option under ‘Choose an available room:’.

  • Select one of the ‘Suggested times:’ if you haven’t set a time yet.

    • Be sure to check the room schedule to ensure it is not already booked during your time.

These are the TelePresence rooms for each campus:

  1. Next, on the new meeting invitation, click on the toolbar button “Add WebEx Meeting”, then select the option to “Add WebEx Meeting”.

  2. Confirm your WebEx Meeting settings, then click OK.

  3. Click Send. You will receive email confirmation when successfully scheduling the room.

Macintosh / Apple:
1. Open Microsoft Outlook, go to your calendar, and open a New Meeting invitation.
2. Add your attendees.
3. Set your Subject Title, date and start/end times, and your message body.
4. Now add the WebEx Conference Rooms:

  • Click ‘Room Finder’ which is located far right of the 'Location' button.

  • Find ‘Show a room list:’ and click on the down arrow to view the options. Then, select the campus of your choice.

  • Find the ‘TelePresence’ option under ‘Choose an available room:’.

  • Select one of the ‘Suggested times:’ if you haven’t set a time yet.

    • Be sure to check the room schedule to ensure it is not already booked during your time.

  1. Review everything and click ‘Send’ to create the meeting.
