WebEx: Tips for the Host After You've Started your Meeting

Double-check that you have “Mute on Entry” enabled.

This alleviates any disruptions by late comers who have their mic open and set to Unmute as they enter.

#1. In the File Menu, go to Participant, then enable Mute on entry.  When Mute on Entry is enabled, it will have a check mark.

#2. Also, confirm that Allow Attendees to Unmute Themselves is also enabled.

Allow anyone to share during your meeting, or lock it down so you pass the Presenter role.

#1. In the File Menu, go to Participant, then enable Anyone Can Share.  When Anyone Can Share is enabled, it will have a check mark.  An attendee simply clicks on the Share button to begin sharing their Desktop or Desktop Application.

#2. To disable Anyone Can Share, simply uncheck it.  To pass the Presenter Role, go to your Participant List, right-click the attendee, go to Change Role, then click on Make Presenter.  An attendee will have the Webex Ball on their name when they have the Presenter Role.  Only one has the Presenter Ball at a time.

Have a less than stellar computer microphone?  Switch to “Call In”.

#1. First, make sure you are not sharing, then click on the drop-down box next to your audio button and click on Switch Audio.

#2. Next, click on the Disconnect button.  This disconnects your computer audio.  Do this first before calling in.

#3. After your computer audio is disconnected, click on the “Call In” View button to display your call-in information.

#4. Use your IP Phone, Land line, or Mobile Phone to dial into the meeting.  DO NOT SKIP ENTERING IN YOUR ATTENDEE ID.  The Attendee ID links your phone to your Mute/Unmute button.

#5. In the participant list, you can tell who has a phone by their phone icon.

Quickly deal with audio feedback from an Attendee by using Mute All

#1. In the event you have to Mute All quickly, there are two places you can do so.

  • First, from your Participant List

#2. Second, from the File Menu > Participant > Mute All

#3. After you click the initial Mute All button, you can choose to Allow Attendees to Unmute Themselves.  Next, click on the last Mute All button to mute everyone but yourself.

#4. After your Mute All is enabled, you will be prompted with the following prompt.

#5. If during the meeting, your attendees cannot Unmute themselves, double-check that you have Allow Attendees to Unmute Themselves is enabled.

Enable Sharing Preview Window while you share your Desktop

#1. While Sharing, click on the drop-down arrow on your Orange bar.

#2. This will enable a preview window of what your attendees can see from you.

#3. As you are teaching, the Sharing toolbar will eventually fade to the top, but the preview window will remain until you click on the drop-down arrow again to collapse it.  This is handy so you don’t have to ask, “can you see my screen?”.
