Faculty & Staff: How do I send an email attachment?

Depending on which email client you are using, there will typically be a paper clip icon and/or the label "Attachments". By clicking on that label or icon, you will be prompted to add/select the file(s) you'd like to attach to your message. Once attached, those files will be sent along with your message. Please be aware that there is a 10MB total file size limit for attachments.Attaching files in Microsoft Outlook allows you to share documents, images, and other files with your email recipients. This guide provides step-by-step instructions for attaching files using Outlook's desktop application and web version.

Using Outlook Desktop Application

Step 1: Open Outlook

  • Launch the Microsoft Outlook application on your computer.

Step 2: Create a New Email

  • Click on the New Email button in the top-left corner of the Home tab to open a new message window.

Step 3: Locate the Attach File Option

  • In the new message window, navigate to the Message tab.

  • Click on the Attach File button, represented by a paper clip icon, located in the Include group on the toolbar.

Step 4: Select the File(s) to Attach

  • A drop-down menu will appear, displaying recently used files and the option Browse This PC.

  • Click Browse This PC to open the file explorer.

  • Navigate to the folder where your file is located.

  • Select the file(s) you want to attach and click Insert.

Step 5: Review the Attached Files

  • The selected files will appear as attachments in the email message.

  • Ensure the total size of the attached files does not exceed 10MB. If the files are too large, consider using OneDrive for file sharing.

Step 6: Complete and Send Your Email

  • Add the recipient's email address, subject, and message content.

  • Click Send to deliver your email with the attached files.

Using Outlook on the Web

Step 1: Access Outlook Web

  • Open your web browser and go to Outlook Web.

  • Log in with your email credentials if prompted.

Step 2: Start a New Email

  • Click on the New Message button located at the top left of the page.

Step 3: Attach Files

  • In the new email pane, click on the paper clip icon labeled Attach at the bottom of the window.

Step 4: Choose Files to Attach

  • A file selection window will open.

  • Browse to the location of the files you want to attach, select them, and click Open.

Step 5: Verify Attachments

  • The files will appear as attachments in your email.

  • Make sure the total attachment size is within the 10MB limit.

Step 6: Finalize and Send

  • Complete the email by filling in the recipient’s email address, subject line, and message body.

  • Click Send to dispatch your email with the attachments.

Additional Tips

  • Large Files: For files larger than 10MB, upload them to OneDrive and share the link in your email.

  • File Types: Stick to common file types like PDF, JPEG, and DOCX to ensure compatibility with recipients.

  • Security: Always scan attachments for viruses before downloading them, especially if they are from unknown sources.

Troubleshooting

  • File Not Attaching: Check your internet connection and ensure Outlook is up to date.

  • Attachments Missing: Try re-attaching the files or restarting Outlook.
